Purpose of the Role

To provide efficient document and correspondence management services, ensuring effective handling, storage, and dispatch of all mail and related materials in compliance with internal procedures and regulations.


Key Performance Areas

Document and Mail Management

  • Process incoming and outgoing mail, including mail batching
  • Resolve unidentified mail and fax queries
  • Monitor dispatch and receipt of legal process documents within strict timeframes
  • Maintain physical and/or electronic records using SharePoint and scanning tools
  • Perform regular register inspections and support financial documentation flow

Correspondence Services

  • Validate and allocate mail for scanning
  • Oversee scanning, indexing, and releasing of mail in the system
  • Provide binding, laminating, and copying services
  • Manage messenger services and vehicle bookings for deliveries
  • Ensure compliance with the Archive Act and RAF RMS strategy

Supervision and Staff Oversight

  • Allocate and monitor tasks for team members
  • Enforce policy adherence and report breaches
  • Provide mediation, training, and re-training
  • Track staff attendance, leave, and performance

Policy Development

  • Contribute to operational policies and procedures
  • Ensure area-specific compliance and improvements

Minimum Requirements

  • Qualification: NQF Level 7 (Bachelor’s Degree or Advanced Diploma) in Administration, Business Management, or related field
  • Experience: At least 3 years in an administrative, records management, or mailroom environment
