Post Title: TEMP: Divisional Admin Assistant
Job Ref: RECR/TDAA/001
Duration: 5 Months
Reporting to: Head of Operations


Requirements

  • Diploma or Certificate in Office Administration/Management, Secretarial, Personal Assistance, or related field
  • 5–8 years of experience in secretarial, office management, personal assistant, or executive personal assistant roles
  • Proficiency in Microsoft Office Suite
  • Familiarity with public sector operations and film industry knowledge (advantageous)

Key Responsibilities

Communication & Stakeholder Liaison

  • Serve as liaison between Operations and other departments
  • Manage departmental communication, arrange and follow up on meetings, distribute minutes, and track action items

Departmental Administration

  • Provide support to various operational units including Events, Partnerships, Compliance, and Special Projects
  • Coordinate requisitions, financial processing, petty cash, travel, and stationery
  • Support in drafting, vetting, and managing documentation

HOD Support & Facilities Management

  • Act as Personal Assistant to the Head of Operations
  • Manage diary, travel, document control, reporting, and communication between HOD and managers
  • Oversee office supplies, landlord communication, and shared workspace needs

Records Management & Audit Support

  • Maintain shared drives and ensure proper documentation of correspondence, contracts, project plans, and meeting minutes
  • Assist with audit preparation and maintain APP-related documentation

Skills & Competencies

  • Strong organisational and multitasking ability
  • Attention to detail and problem-solving mindset
  • Excellent communication and planning skills
  • Knowledge of the public sector and film/video industry
  • Financial awareness and project management exposure
  • Proficiency in Microsoft Office
