Job Advert Summary

The Facilities Consultant will coordinate activities related to building maintenance and manage office furniture, stationery, supplies and groceries.

The successful candidate will facilitate and coordinate building space optimisation and staff office allocation.

The role includes liaising with contractors for building maintenance and office equipment repairs, ensuring maintenance of office appliances and coordinating facilities-related activities.

The candidate will ensure that a safe, efficient and effective working environment is maintained in line with applicable building regulations, including South African National Standards 10400 and the Occupational Health and Safety Act.

The position will also be responsible for security and safety-related activities.

Minimum Requirements

Applicants must have Matric or an equivalent qualification.

Applicants must have an NQF Level 6 qualification in Facility Management or a related field.

A qualification in Construction Management will be an added advantage.

Registration with the South African Council for the Project and Construction Management Professions will be an advantage.

Applicants must have at least five yearsโ€™ relevant experience in Facilities Management, Contracts Management or a related field.

Duties and Responsibilities

The successful candidate will support building maintenance, stakeholder management, facilities procurement, occupational health and safety, budget management, people management and physical asset management.

Operations: Building Maintenance

The successful candidate will prepare and manage annual building maintenance schedules.

Duties include supporting the day-to-day upkeep of the building and coordinating contractors when they are on site for maintenance and repairs of building structures and furniture according to specifications and designs.

The candidate will assist with building and infrastructure projects.

The candidate will coordinate development, coaching, mentoring and performance management of hygiene staff, cleaning staff, refreshment staff, drivers, handymen and receptionists.

The role includes ensuring space optimisation within buildings and reducing costs.

The candidate will adhere to turnaround times for corrective and preventative maintenance.

The successful candidate will also ensure compliance with internal policies, procedures and the Occupational Health and Safety Act.

The candidate will ensure that health, safety and environmental regulations are followed for Sasria employees, visitors and contractors.

Stakeholder Management, Landlord, Procurement of Services and OHS

The successful candidate will interact regularly with the landlord and support monthly invoice payments and maintenance scheduling.

Duties include maintaining working relationships with facilities staff and external contractors.

The candidate will procure groceries, office cleaning materials and building maintenance requirements.

The candidate will support procurement of movable assets, excluding computer equipment.

The successful candidate will keep stakeholders informed about the state of facilities and liaise with suppliers and the landlord on required maintenance.

The candidate will proactively engage with employees, management, contractors, suppliers and other stakeholders to identify areas for facilities improvement.

The role includes facilitating supplier and equipment contracts in liaison with procurement.

The candidate will obtain quotations and negotiate best deals in line with procurement processes.

The candidate will prepare reports on risk and compliance.

The successful candidate will manage all Facilities Department contracts and communicate with service providers on upgrades and cancellations.

The candidate will request cell phones for new staff and keep records of lost, stolen or damaged phones.

The candidate will manage procurement and disposal of assets, maintain the asset register and ensure that buildings and movable assets are covered under the business insurance cover.

The candidate will maintain OHS standards and processes, coordinate monthly meetings, conduct monitoring and inspections and act as designated Emergency Controller.

Finance: Manage Facilities Budget

The successful candidate will maintain the operational budget.

Duties include ensuring expenditure is within the area of responsibility and providing input into the facilities maintenance budgeting process.

The candidate will support the optimisation of space and equipment while reducing operating costs.

The role includes keeping financial and non-financial records, reviewing utilities consumption and supporting cost minimisation.

The candidate will also assist with managing company overheads and streamlining processes.

People Management of Department Staff

The successful candidate will coordinate daily work activities of receptionists, refreshment servers, cleaners, handymen and drivers.

The candidate will provide input on performance appraisals and performance reviews of subordinates.

The role includes coaching and general management of cleaning staff, including temporary staff, refreshment servers, drivers, messengers and receptionists.

Physical Assets Management and Ad-Hoc Projects

The successful candidate will support procurement and disposal of assets, excluding computer equipment, through the physical asset management process.

The candidate will ensure that the asset register is updated.

The candidate will ensure that all buildings and movable assets are covered under the business insurance cover.

The successful candidate will also assist the Project Manager where required.
