Project Admin

Key Performance Areas

SAP Financial Project Administration

  • Register, revise, and close projects in line with approved Project Establishment Forms
  • Produce weekly SAP/IFS and Excel reports on project expenditure versus budget
  • Ensure revenue and expenditure are posted to correct GL accounts and correct errors via journals
  • Monitor project budgets and alert management and Chief Investigators of variances
  • Perform month-end procedures and analyse timesheet discrepancies
  • Liaise with SBU accountants, buyers, suppliers, auditors, and project stakeholders
  • Support procurement processes, requisitions, and follow-ups on purchase orders

SAP Financial Project Billing

  • Capture proposals and sales orders on SAP/IFS with accurate billing plans
  • Issue invoices after confirmation and manage debtor tracking
  • Monitor debtor days and follow up with internal and external stakeholders
  • Coordinate with Mintek Finance on pre-payments and invoice clearance

Budget and Cost Control

  • Assist executives and heads with budget planning and forecasting
  • Monitor CAPEX expenditure against approved budgets
  • Support cost reduction and business improvement initiatives

Project Labour Administration

  • Ensure weekly staff time bookings and approve billable hours
  • Generate labour booking reports for management review
  • Resolve incorrect time bookings and ensure Science Vote invoicing is completed on time

Minimum Requirements

Qualifications and Experience

  • BTech or Bachelor’s Degree in Finance or Accounting
  • Minimum of 5 years’ experience in project administration or a similar role
  • Proven experience working with SAP/IFS Project Systems
