Primary Purpose

The Senior Secretary will provide comprehensive administrative, secretarial, and office management support to the Director. Responsibilities include managing correspondence, scheduling meetings, maintaining records, coordinating communications, and ensuring smooth operational flow within the Director’s office.


Minimum Requirements

  • Grade 12 / NQF Level 4.
  • National Diploma in Secretarial or Office Administration (NQF Level 6) or a related qualification in Administration.
  • Understanding of Secretarial / Office Administration concepts and functions.

Key Performance Areas

  • Coordinate and manage all documentation for the Director’s office.
  • Manage the Director’s diary, appointments, and programme of activities.
  • Attend to requests and provide effective office and stakeholder support.
  • Handle correspondence, filing, and confidential documentation.
  • Facilitate logistical arrangements for meetings and internal events.
  • Ensure professional communication between internal and external stakeholders.

Leading Competencies

  • Computer literacy (Microsoft Word, Excel, PowerPoint).
  • Excellent written and verbal communication skills.
  • Strong organisational and coordination abilities.

Core Competencies

  • Knowledge of secretarial and office administration practices.
  • Professionalism and ethical conduct guided by the Batho Pele Principles.
  • Strong interpersonal and multitasking skills.
