Purpose of the Role

To provide comprehensive and professional secretariat and administrative support to the Bid Specification, Bid Evaluation, Bid Adjudication, and Loss Control Committees. The Bid Secretariat Officer ensures that all procurement processes are fair, transparent, and compliant with relevant legislation, while coordinating and administering the end-to-end bidding process in line with CCMA’s Supply Chain Management (SCM) policies and Public Procurement regulations.


Key Performance Areas

  • Committee Coordination and Meeting Management
    Schedule, coordinate, and facilitate meetings of all bid-related committees.
  • Secretariat Support and Minute Taking
    Record accurate minutes and maintain comprehensive records of proceedings.
  • Compliance and Governance Monitoring
    Ensure adherence to SCM regulations, PFMA, and National Treasury guidelines.
  • Decision Tracking and Implementation Monitoring
    Follow up on committee decisions and ensure timeous implementation.
  • Procurement Plan Monitoring
    Track and report progress against the approved procurement plan.
  • Stakeholder Engagement
    Facilitate effective communication between SCM, committees, and internal stakeholders.
  • Records and Demand Management
    Maintain organised, secure, and up-to-date procurement documentation.

Minimum Requirements

  • Qualification:
    • National Diploma in Supply Chain Management, Public Procurement, or Public Administration, or equivalent.
  • Experience:
    • At least 3 years’ experience in Supply Chain Management in a similar committee secretariat role.
  • Training:
    • Training in Public Procurement
    • Training in Procurement Systems (ACCPAC)
    • Proficiency in MS Office applications (Word, Excel, PowerPoint, Outlook)
