About the Job:

The Admin Officer will provide administrative and quality management support services, ensuring efficient implementation, maintenance, and continuous improvement of Armscor Dockyard’s Quality Management System.

Qualifications:

  • Essential:
    • Matric (Grade 12)
    • Office Administration Certificate or similar qualification
  • Added Advantage:
    • Document Control Certificate

Experience:

  • Minimum of 3 years’ experience in a similar business environment.
  • Computer literacy is essential.
  • Added Advantage: Experience in ISO 9001 Quality Management System implementation.

Key Performance Areas:

The successful candidate will be responsible for, but not limited to:

  • Maintaining proper records and ensuring efficient document retrieval in line with Armscor’s document management system.
  • Scheduling and taking minutes at Document Management Review Committee meetings.
  • Archiving management documentation and uploading documents on the intranet.
  • Handling administrative tasks related to document distribution.
  • Ensuring all archiving records/files are accurately captured in the database.
  • Managing the process of documentation according to A-PROC-007 Management of Management Procedure.
  • Standardising documentation processes, including development, review, and approval.
  • Updating and maintaining the Document Change Proposal (DCP) register.

Knowledge and Functional Skills:

  • Understanding of documentation procedures, practices, and policies.
  • Proficiency in MS Office applications.
  • Strong verbal and written communication skills.
  • High level of accuracy in data capturing and minute-taking.
  • Ability to work independently with minimal supervision.
