Administrative Officer – Executive Assistant: Operations

Job Purpose
To provide high-level, proactive administrative and executive support to the Head of Operations, ensuring the smooth day-to-day functioning of all operational areas.
Key Responsibilities
- Manage the HOD’s diary, appointments, meetings, travel arrangements, access and visitor logistics
- Prepare reports, presentations, briefing packs and management dashboards
- Draft minutes, track action items and ensure timely follow-up and closure
- Manage and prioritise the HOD’s inbox, converting action items into tracked tasks
- Compile, consolidate and coordinate departmental operational reports
- Gather data, statistics and prepare reports and graphs for management
- Draft and proofread official correspondence, memos and communiqués
- Act as first point of contact for OEM representatives, lessors and regulators
- Handle sensitive personnel and commercial information with strict confidentiality
- Liaise with internal departments and represent the HOD professionally
- Resolve enquiries and complaints or escalate where necessary
- Promote SAAT’s brand through professional communication and service excellence
Minimum Requirements
- Grade 12 (Matric) or equivalent
- Relevant qualification in Office Administration / Secretarial Studies
- Advanced MS Office proficiency (Excel, Word, PowerPoint, Access, Projects)
- PC literacy including MIS and SAP
- Minimum experience:
- 4 years Office Administration
- 3 years Secretarial / Personal Assistant experience
- 3 years Executive Assistant experience
Added Advantage
- Post Grade 12 qualification
Knowledge and Skills
- Knowledge of AMOS systems
- Strong understanding of MS Office packages
- Knowledge of SAAT policies, procedures and operational activities
- Understanding of performance management and continuous improvement
- Excellent written and verbal communication skills
- Typing speed of at least 35 words per minute
- Strong planning, organising and time management skills
- High attention to detail, discretion and confidentiality
- Professional telephone etiquette and customer service orientation
- Ability to multitask, work under pressure and solve problems proactively
