Position: Facilities and Fleet Administrator

Reporting to: Facilities and Fleet Manager

Key Responsibilities

Facilities & Financial Administration

  • Monitor service providers as per contracts and SLAs.
  • Obtain quotations and follow SCM procedures.
  • Process and track requisitions, POs, and invoices on Oracle.
  • Ensure documents related to capex projects, maintenance, and warranties are properly scanned and recorded.
  • Maintain a register of POs, invoices, and payments.

Printer and Copier Support

  • Manage printer hardware and consumables.
  • Schedule repairs and ensure minimal downtime.
  • Track printer usage and assist with asset register entries.

Driver and Messenger Supervision

  • Coordinate pool vehicle bookings and deliveries via the Workflow Management System.
  • Supervise document delivery to Board and Exco.

Fleet Management

  • Operate the Help Desk for fleet-related queries.
  • Supervise shuttle and chauffeuring services.
  • Track vehicle usage via GPS, manage fuel, maintenance, and servicing.
  • Keep records updated: licenses, logbooks, requisitions, and service intervals.
  • Renew license discs and manage vehicle keys and service records.
  • Report incidents promptly to the Facilities and Fleet Manager.

Minimum Requirements

  • Grade 12 or equivalent
  • Diploma in Business Administration / Facilities Management (advantageous)
  • 3 years of experience in office administration
