The South African National AIDS Council (SANAC) leads South Africa’s response to the national HIV, TB & STIs epidemics. SANAC is building a dynamic team that can facilitate its effective leadership of the national response. We are, therefore, recruiting for a Legal Secretary. The position exists within the Legal Unit based in Pretoria.

Name of Position:  Legal Secretary

Reporting to            : Trust Secretary & Head of Legal

Level                      : C

Duration               : 1 year

The position will support the Trust Secretary & Head of Legal unit by providing relevant administrative and legal support.  The officer will be required to work closely with diverse units within the SANAC Trust to ensure the joint effort for the successful compliance with legal requirements.

Key Responsibilities:

  • Provide administrative support to the Head of Legal;
  • Effective communication with Board members and internal and external stakeholders;
  • Produce and file various legal documents;
  • Actively manage and co-ordinate meetings of   Board committees;
  • Ensure the preparation of agendas, collation and professional presentation of meeting packs and typing of minutes for meetings;
  • Ensure the arrangement of suitable refreshments, telecommunication and facility rooms;
  • Hands on logistics confirmation for all Board and committee meetings;
  • All statutory documentation and records should be up to date and kept safely;
  • Focus on the maintenance of Trustee declaration of interest and resolution register;
  • Ensure the safe keeping and updated Trust records.
  • Updating job knowledge by participating in educational opportunities; reading professional publications;
  • Accomplishing organization goals by accepting ownership for accomplishing new and different requests; exploring opportunities to add value to job accomplishments. 
  • Taking on other administrative tasks as assigned by the Trust Secretary & Head of Legal in relation to Board meetings, including preparing document packs and assisting with other logistics.

 

Experience, Knowledge and Skills

  • Minimum two years’ experience in corporate commercial law, litigation and paralegal experience.
  • 2 years’ experience in a Company Secretary’s office or similar environment.
  • Minute-taking experience
  • MS Word (Intermediate)
  • Excel (Intermediate)
  • PowerPoint (intermediate)
  • Drivers License
  • Computer Skills: Writing emails, reporting, legal administration skills, transcribing notes, researching legal documents faxing, copying, and creating spreadsheets or printing documents figure heavily in your day.
  • Dependability and Confidentiality
  • Fluency in English and another official language;
  • Analytical skills;
  • Good communication skills, written and oral;
  • Ability to forge partnerships and ability to influence others
  • Detailed orientated, strong secretarial, proofreading, formatting and editing skills
