The Independent Regulatory Board for Auditors (IRBA) is seeking a dynamic Personal Assistant and Committee Secretary to join their Investigations Department.
About the Role
As a Personal Assistant and Committee Secretary, you will provide crucial administrative support to the Director: Investigations and the Investigations Department. This role involves managing the director’s diary, handling communications, organizing meetings, and managing both physical and electronic information. You’ll also serve as the Secretary for the Investigations and Enforcement Committees, preparing agendas, taking minutes, and ensuring that all committee-related documentation is well-organized and accessible.
Key Responsibilities
Administrative Support to the Director: Investigations
- Diary Management: Scheduling and managing appointments, ensuring the Director’s schedule runs smoothly.
- Stakeholder Interactions: Acting as a liaison between the Director and internal/external stakeholders, ensuring clear and effective communication.
- Procurement: Managing the purchasing needs of the Investigations Department, ensuring all resources are available as required.
- Ad-hoc Assistance: Providing administrative support as needed to ensure department efficiency.
Administrative Support to the Investigations Department
- Follow-up: Ensuring that initial responses from Respondents and Complainants are tracked and followed up on.
- Filing and Database Management: Organizing both physical and electronic records of correspondence and maintaining an up-to-date database of open investigations.
- Document Management: Ensuring that all department-related documents are filed and easily accessible.
Secretary to the Investigations and Enforcement Committees
- Meeting Scheduling: Coordinating and scheduling meetings for the Investigations and Enforcement Committees.
- Agenda and Minutes: Preparing agenda packs and accurately taking minutes during meetings to ensure that all proceedings are well-documented.
- Filing Documents: Managing the filing of all committee meeting documents, ensuring that everything is well-organized and easy to retrieve.
Key Requirements
Qualifications & Experience
- Grade 12 or higher qualification.
- Minimum of 5 years’ experience as a personal assistant at an executive level.
- Committee Secretary Experience: Previous experience in taking minutes and managing documentation for committees.
- Proficiency in MS Office: Strong skills in Microsoft Word, Excel, and PowerPoint are essential for this role.
