AgriSETA (Agricultural Sector Education and Training Authority) is looking for a Personal Assistant to the CEO to join their team on a permanent basis. Job Purpose: The Personal Assistant to the CEO plays a pivotal role in providing exceptional secretarial support and ensuring smooth operations at the highest level. The successful candidate will be responsible for a wide range of tasks, from correspondence and report preparation to travel arrangements and meeting coordination, ensuring that the CEO and management team can focus on strategic leadership.
Key Responsibilities:
- Secretarial Support to CEO and Management:
- Prepare and type correspondence, reports, and documents for the CEO and the executive team.
- Respond to emails on behalf of the CEO, ensuring that inquiries are directed to the correct person or department.
- Manage the CEO’s calls, messages, and invitations.
- Record and manage incoming correspondence, ensuring timely responses.
- Maintain an organized diary, providing reminders of important meetings, appointments, and deadlines.
- Travel Arrangements:
- Make local and international travel arrangements for the CEO and the management team, ensuring efficient travel schedules.
- Reconcile travel invoices and ensure accurate billing before final approval.
- Administration:
- Maintain a well-organized filing system for all documentation.
- Keep a register of meetings and maintain the minute book for key meetings.
- Arrange and coordinate meetings, ensuring all logistics are handled smoothly.
- Reconcile credit card statements and assist with financial administration as required.
Minimum Qualifications & Experience:
- NQF Level 5 in Business Administration or a relevant equivalent qualification.
- A minimum of 4 years of experience in a similar role, with a strong background in administrative support.
Required Competencies:
- Computer Literacy: Proficiency in Microsoft Office Suite and other relevant software.
- Organizational Ability: Strong skills in managing multiple tasks and deadlines.
- Communication Skills: Effective written and verbal communication, including the ability to take minutes at high-level meetings.
- Professionalism: A high standard of professionalism, ensuring that all tasks are handled with confidentiality and discretion.
- Knowledge of the SETA Environment: An understanding of the SETA structure and its processes is highly beneficial.
- Project Management Skills: Ability to coordinate and oversee projects as needed.
- Detail-Oriented: A keen eye for detail to ensure accuracy in all administrative and organizational tasks.
